Office Manager/Help Line Director (Part Time)

The National Alliance on Mental Illness of Massachusetts (NAMI Mass) is a nonprofit grassroots education, support and advocacy organization dedicated to improving the lives of persons living with serious mental illness and their families. Founded in 1982 and obtaining 501(c) (3) status in 1999, the state’s voice on mental illness, NAMI Mass, with 18 local affiliates and over 2,500 members is comprised of individuals with mental illness, family members and others in the mental health community.

We currently have an opening for a twenty hour/week Office Manager/Help Line Director. The individual in this position is responsible for overall management of office operations. Additionally this individual will be responsible for managing and operating the Help Line, which includes answering inquiries from the public and recruiting volunteers to work the Help Line.

Please note this fall we will be moving our offices to the Schraffs Center, 529 Main Street in Boston (next to Sullivan Square subway).

Essential Functions:

  • Order, track and maintain organizational system for all office supplies.
  • Order, track and maintain materials for library.
  • Maintain office supplies and library in orderly manner.
  • Develop and implement distribution plan to send library materials to affiliates.
  • Open, stamp and distribute mail to appropriate staff.
  • Conduct new staff orientation; including- paperwork we need for payroll, immigration law, emergency info, etc.
  • Conduct (staff) exit interviews.
  • Post job announcements and receive applications;
  • Supervise Helpline specialist;
  • Develop and implement plan for recruiting volunteers to work on Help Line (colleges or other venues);
  • Know and understand web resources, answer phones and train staff as appropriate;
  • Assist ED with general correspondence, letters of support, contacting legislature, etc.
  • Maintain all office equipment and contact vendors for maintenance or repairs;
  • Act as liaison with new landlord.

Minimum Qualifications

  • Experience working in busy, high energy office environment.
  • Experience in adapting to rapidly changing environments.
  • Self-starter, able to apply direction to novel situations
  • Excellent computer skills including facility with Microsoft Office, Excel, PowerPoint.
  • Strong verbal, writing and editing skills.
  • Excellent organizational and multi-tasking skills.
  • Knowledge of mental health and/or recovery preferred.
  • Persons with lived experience a plus.

NAMI offers a generous set of benefits including health, dental, vacation (3 weeks/year) and sick time (10 days). The pay range will be $16 – 18/hr, depending on experience. NAMI is an equal opportunity employer.
